What you’ll do

We are looking for someone who is highly motivated and prepared to take on an exciting new challenge within a dynamic start-up social enterprise making a difference to communities and policing.

As Police Now’s Personal Assistant to the Directors you will make a significant contribution to the smooth running of the organisation. Our Directors are hard-working professionals who require a high-calibre individual to support them in the administrative tasks of their day-to-day work. Predominantly this role will support Police Now’s Chief Executive Officer, Chief Operating Officer and Programme Director, with ad hoc support for other four Directors from time to time.

You will be the primary point of contact for seven Directors with a range of stakeholders both internally and externally, including the Board of Trustees. Absolute discretion is critical within the role as management of confidential matters is a regular occurrence. The role holder will be required to take on a wide range of responsibilities which include managing complex schedules of several senior stakeholders including booking meetings, conference calls and travel arrangements. You will also be comfortable handling financial, including processing expenses and reconciling seven Director credit cards on a monthly basis.

Responsibilities

The role holder will complete a broad variety of administrative tasks for the Directors including:

  • Managing extremely active and complex calendars of internal and external appointments
  • Arranging complex and detailed travel plans, itineraries and agendas
  • Booking appropriate meeting rooms
  • Composing and preparing correspondence that is often confidential
  • Compiling documents for travel-related meetings
  • Completing expense claims
  • Tracking and reconciling credit card statements
  • Assist with greeting visitors, booking and setting up meeting rooms
  • Preparing research documents to support Directors and wider HQ
  • Assist Board Members with calendar management and travel arrangements as needed.

What you need

  • Strong organisational skills and the ability to prioritise multiple tasks seamlessly with excellent attention to detail.
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners.
  • Proven ability to handle confidential information with absolute discretion.
  • Highest level of customer/client service and response.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point)
